PermitPilot Inc. (“PermitPilot,” “we,” “us,” or “our”) operates permitpilot.com. We are based in Calgary, Alberta, Canada.
2. What data we collect
We collect the following categories of information:
- Account information: Name, email address, company name, and role when you sign up or book a demo.
- Project information: Property addresses, project descriptions, intake questionnaire answers, and permit-related details you enter.
- Documents: Files you upload for document management and validation purposes.
- Usage data: Pages visited, features used, and actions taken within the Service, collected via analytics tools.
- Communications: Any correspondence with our support team.
3. How we use your data
- To provide and improve the Service
- To send account-related and product notifications
- To respond to support requests
- To send product updates (newsletter, if opted in)
- To comply with legal obligations
4. Data storage and residency
All data is stored in Canadian cloud infrastructure. We do not transfer personal information outside Canada for processing except where required to provide the Service (e.g., email delivery through our email provider).
5. Data sharing
We do not sell your personal information. We share data only with service providers necessary to operate the Service (hosting, email, analytics), and only under data processing agreements that protect your information.
6. Data retention
We retain account and project data for as long as your account is active plus 90 days after closure. Documents are deleted within 30 days of account closure. You may request earlier deletion by contacting privacy@permitpilot.com.
7. Your rights
Under PIPEDA and applicable provincial legislation, you have the right to access, correct, and request deletion of your personal information. Contact privacy@permitpilot.com to exercise these rights.
8. Cookies and analytics
We use privacy-respecting analytics (PostHog) with IP anonymization. We do not use third-party advertising cookies. We use session cookies for authentication.

10. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of material changes via email. Continued use of the Service after changes constitutes acceptance.
